The Executive Assistant to the CEO, CSO (Chief Strategy Officer) and General Counsel will complete a broad variety of administrative tasks and will work closely with both officers to manage their agenda and adapt to their needs. This role is a critical addition to the organization as the company is growing and scaling to be able to serve its customers.
The Executive Assistant needs to be a highly motivated individual willing to make a difference through hard and dedicated work. The Executive Assistant needs to have a positive, can-do/make happen attitude, and be action and outcome oriented.

Job Responsibilities:
  • Completes a broad variety of administrative tasks for the CEO, CSO and General Counsel such as managing calendar of appointments, scheduling meetings, taking minutes of key staff meetings, building travel plans, itineraries and agendas, processing expense reports
  • Screens incoming calls and correspondence, responds independently when possible, or drafts responses to facilitate the ability of the CEO and CSO to interact quickly and effectively
  • Prioritizes conflicting needs, handles matters expeditiously, proactively and follow-through until completion, often under tight deadlines
  • Provides a bridge for smooth communication between the different department heads and the CEO and CSO, demonstrating leadership, ability to build trust, and provide high touch support to senior management
  • Provides leadership to building relationships crucial to the success of the organization, and manages a variety of special projects for the CEO, some of which may have organizational impact
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company
Qualifications and Experience:
  • Minimum of 5 years of administrative experience with a least one to two years of experience providing administrative support to C-level executives
  • Bachelor’s degree or equivalent experience
  • Previous experience supporting a CEO
  • Must possess high level of computer literacy, including Microsoft Office Suite 2010, Word, Excel, and PowerPoint
  • Excellent written, verbal, and interpersonal communication skills
  • Strong ability to problem-solve practical problems in a timely manner
  • Multi-task against tight deadlines and sudden change in priorities
  • Self-starter, comfortable making decisions with little supervision or direction
  • High level of organization and time management skills
  • Ability to exercise discretion and maintain confidentiality of sensitive information
  • Knowledge of Good Manufacturing Practices (GMP) and applicable Quality System Standards.
  • Attendance and Punctuality are essential function of the position
